Electronic signature for HR and payroll
Speed up onboarding, addenda, and payroll deduction authorizations. Your HR team signs employment documents with legal validity in minutes, not days, with evidentiary support that protects the company against labor claims.
What documents do HR teams sign?
An HR department issues dozens of documents each month that require an employee signature: employment contracts, addenda, personal-data processing authorizations under Law 1581 of 2012, internal policies (employee handbook, BYOD, remote work), payroll-deduction authorizations, certifications, performance plans, and clearance letters. Each of those documents, when signed on paper, means printing, scanning, physical filing, digitizing for the personnel file, and risking loss. With electronic signature, the entire cycle reduces to an email invitation, a phone-based signature, and a signed PDF with an SHA-256 hash anchored to the Avalanche blockchain, ready for audit.
Remote onboarding without delays
Traditional onboarding takes between 3 and 7 days: scheduling the in-person signature, coordinating calendars, scanning documents, sending them to legal, and filing them. With Validocus you can have the new employee signing their contract, BYOD policy, data-processing authorization, and confidentiality agreement within 24 hours of accepting the offer — all from their phone.
For teams distributed across Colombia, Argentina, Mexico, Chile, and Peru the benefit multiplies: you don't need to bring the employee to an office or send international courier mail. The full onboarding legal package gets signed in a single session, and the contract remains immutable on blockchain, with optional video evidence for sensitive records.
Labor compliance (Colombian Labor Code)
The Colombian Labor Code and Law 527 of 1999 allow employment contracts and their amendments to be executed by electronic means as long as the signer is identified and document integrity is preserved. Validocus meets both:
Signer identification
Unique email per signer, device IP, user agent, timestamp from a time-stamping server, and optional video evidence with facial verification. Identity evidence is more complete than that of a handwritten signature.
Document integrity
SHA-256 hash of the signed PDF registered on the Avalanche blockchain. Any post-signature alteration changes the hash and public verification fails — forgery becomes impossible.
Integration with your HRIS or payroll system
Validocus exposes a REST API to automate contract generation from your HRIS (BambooHR, Personio, Buk, Aleluya, Siigo Nómina, Rappi People, Bizneo). When you create a new employee in your system, a workflow can generate the contract from a template, invite the signer, and notify you via webhook when they finish signing — with no manual intervention. The API also lets you query contract status, download the signed PDF, and export evidentiary data for your legal archive.
Use cases
Fixed-term and indefinite contracts
Sign the employment contract, confidentiality annex, remote-work policy, and data-processing authorization in a single flow. The employee signs from their phone before their first day.
Addenda and contractual changes
Role changes, salary increases, site transfers, schedule changes. Sign the addendum without printing or physically gathering the employee — useful for distributed teams or remote work.
Payroll-deduction authorizations
Salary advances, internal loans, employee funds, voluntary insurance. Video evidence of the employee's express consent protects the company against later claims.
Certifications and clearance letters
Digitally signed employment certifications with a verifiable hash. Useful for former employees to validate authenticity at banks, embassies, or new employers without requesting reprints.
How does it work?
- 1
Upload the employment contract or addendum template as a PDF and fill in the employee's data (name, ID, email, role, salary).
- 2
The employee receives an email with a unique link — opens it on a phone or computer.
- 3
Reviews the document page by page, draws their signature on screen, and records video evidence (recommended for contracts and deduction authorizations).
- 4
Validocus generates the SHA-256 hash of the signed document and registers it immutably on the Avalanche blockchain.
- 5
Download the signed PDF and the evidence certificate (timestamp, hash, video, blockchain TX) for your digital personnel file or physical archive.
Frequently asked questions
Which HR documents can be signed electronically?
Virtually anything HR issues: fixed-term and indefinite-term contracts, service contracts, addenda, offer letters, confidentiality agreements, personal-data processing authorizations (Law 1581 of 2012), payroll-deduction authorizations, employment certifications, clearance letters, and performance plans. The Validocus electronic signature complies with Law 527 of 1999 and applies to the Colombian Labor Code.
Does an electronic signature replace a handwritten paper contract?
Yes. Article 7 of Law 527 establishes that when a rule requires a signature, that requirement is satisfied by an electronic method that identifies the signer and indicates they approve the information in the document. Validocus adds video evidence, an SHA-256 hash, and Avalanche blockchain registration — evidence that is stronger than a handwritten signature on paper.
How do I manage the remote onboarding of a new employee?
You upload the document package (employment contract, employee handbook, data-processing authorization, BYOD policy, conflict-of-interest declaration), invite the employee by email, and they sign everything from their phone in under 10 minutes. They don't need to be physically in the office or print anything. You reduce time-to-productive from 7 days to 1 hour.
Does Validocus integrate with my HRIS or payroll system?
Yes. We expose a REST API that your HRIS (BambooHR, Personio, Rappi People, Buk, Aleluya, Siigo Nómina, Bizneo, etc.) can consume to create signable contracts programmatically and receive webhooks when an employee signs. You can also export evidentiary data as PDF for your legal archive.
What about payroll-deduction authorizations?
Deduction authorizations (salary advances, voluntary garnishments, employee loans, supplemental insurance, employee funds) require a free and specific expression of the employee's will. The Validocus video evidence creates explicit documentation of consent, which protects the company against a potential lawsuit for unauthorized deductions.
Is it valid before the Ministry of Labor or a labor judge?
Yes. The evidence chain (hash + timestamp + video + IP + blockchain) constitutes admissible documentary evidence under the General Procedure Code and the Colombian Labor Code. Recent jurisprudence from the Supreme Court has accepted reinforced electronic signatures as evidence in labor disputes.
